Jaime Byrne Events is seeking an experienced, highly organized, and detail-oriented Event Coordinator to support the planning and execution of nonprofit fundraising events, galas, and special events. This is a contract, hourly position that offers flexibility, independence, and the opportunity to play a key role in producing impactful events that make a difference.
About the Role
This position is ideal for someone who thrives in a fast-paced environment, loves organization, and takes pride in making sure every detail is accounted for. We are looking for a proactive self-starter who can anticipate needs before they arise, think several steps ahead, and help keep both clients and our internal team organized and on track.
While this is not a traditional full-time position, candidates should understand that event planning is cyclical. Workload will fluctuate throughout the year, with hours increasing significantly as events approach. During peak event periods, this role may require full-time availability and flexibility to meet deadlines and event needs.
Key Responsibilities
Support the planning and execution of fundraising galas, nonprofit events, and special projects
Create and maintain detailed timelines, production schedules, and event checklists
Track tasks, deadlines, and deliverables to ensure projects stay on schedule
Coordinate with venues, vendors, sponsors, clients, and event partners
Manage event logistics and oversee countless moving pieces simultaneously
Assist with event registration, guest management, auction logistics, sponsorship fulfillment, and production needs
Keep project files, documents, and communications organized and up to date
Anticipate potential challenges and proactively identify solutions
Follow through on every detail to ensure nothing falls through the cracks
Support onsite event execution, including occasional evening and weekend events
Qualifications
Prior event planning, event coordination, or project management experience required
Exceptional organizational skills and attention to detail
Strong written and verbal communication skills
Ability to manage multiple projects and priorities simultaneously
Highly proactive, resourceful, and self-motivated
Comfortable working independently while collaborating closely with a small team
Strong sense of ownership and accountability
Proficient in Google Workspace, Microsoft Office, and event management software
Experience working on nonprofit fundraising events, galas, or large-scale events is preferred

Schedule & Flexibility
This is a flexible, hourly contract position. There is no set 9-to-5 schedule, and we are open to candidates who may have other professional commitments. We value results, communication, and reliability over rigid office hours.
That said, candidates must be available to:
Monitor and respond to emails and time-sensitive communications within a reasonable timeframe
Prioritize availability for client meetings during standard business hours, as project needs require
Communicate clearly about their availability and schedule
Increase availability during busy event periods and leading up to major events
Work evenings, weekends, and event days as needed

Compensation
Hourly rate is negotiable and will be based on experience and qualifications.
